Under the direction of the Deputy Executive Officer, the incumbent performs a variety of analytical, administrative, and secretarial tasks for executive staff and Board of the State Coastal Conservancy, acting independently and taking appropriate action on matters relating to the overall operation of the agency.

Coordinate Board book preparation for 5 State Coastal Conservancy board meetings per year, located in various locations throughout the state, and 6 San Francisco Bay Restoration Authority board meetings each year, located in the Bay Area. Work with project staff, legal staff, and executive staff to ensure project documents are prepared and reviewed; meeting agendas are prepared and distributed. Find, reserve, and set up venues for board meetings and attend meetings, setting up board meeting rooms. Work with project staff to coordinate board tours related to board meetings. Attend all board meetings and serve as clerk of the board, calling role and votes and taking minutes. Assist with travel arrangements for board members and executive staff. Prepare board meeting minutes.

 

Receive grant applications for Conservancy grant rounds; pre-screen applications to ensure they meet minimum required standards; respond to questions and communicate with grant applicants regarding submittals. Organize files into folders so that other staff may access and review. Create spreadsheets to track applications received.

 

Perform various administrative duties to support the Conservancy’s management team, including, but not limited to, organizing information, and creating simple charts, maintaining, and updating agency email list, ending out mass emails, setting up webinars and managing attendee lists.
